This policy explains what personal data Holvo Golf collects when you use this website or buy from us, why we collect it, who we share it with and what your rights are.
Who we are
The data controller is William Ashwell, a sole trader trading as Holvo Golf, of Ardentia House, The Green, Ninfield, Battle, East Sussex, TN33 9JE. Contact us about your data at support@holvogolf.com.
Data we collect
- Orders: name, billing and delivery address, email, phone if given, items bought, payment status. We do not see or store your full card details.
- Account: login email, password (stored encrypted), saved addresses, order history.
- Mailing list: if you sign up, for example for our welcome offer, your email address and the date you joined.
- Enquiries: what you send through the contact form or by email: name, email, phone, order number, message.
- Website use: IP address, browser and device, pages visited. Analytics and advertising cookies only with your consent. See our Cookie Policy.
How we use it
- To take payment, make and deliver your order and handle returns. Lawful basis: contract.
- To keep tax and accounting records. Lawful basis: legal obligation.
- To reply to enquiries and give customer service. Lawful basis: legitimate interests.
- To prevent fraud and keep the website secure. Lawful basis: legitimate interests.
- To measure how the website is used and to show relevant adverts. Lawful basis: consent, given through the cookie banner.
- To send marketing emails, only if you opt in. Lawful basis: consent. Every email has an unsubscribe link.
Who we share it with
We share only what each service needs to do its job. They act on our instructions as processors.
- Our production and delivery partner, who makes your order and sends it to you: your name, delivery address, phone if given, and the items ordered.
- Couriers: name, delivery address, phone and email for delivery updates.
- Payment provider: Stripe.
- Website hosting and email: DreamHost.
- Analytics and advertising, with consent: Google Analytics.
- Our accountants, and HMRC or other authorities where the law requires it.
Some of these services store or process data outside the UK. Where they do, the transfer is covered by UK adequacy regulations or the UK International Data Transfer Agreement. We never sell your data.
How long we keep it
- Orders and invoices: 6 years after the end of the financial year, for tax.
- Customer accounts: until you ask us to close the account, or 3 years after your last order.
- Mailing list: until you unsubscribe.
- Contact form enquiries: 12 months.
- Analytics data: 14 months.
Your rights
You have the right to:
- ask for a copy of the data we hold about you;
- ask us to correct it or delete it;
- object to or restrict how we use it;
- ask for it in a portable format;
- withdraw consent at any time, for example through the Cookie preferences link at the foot of every page.
We reply within one month. There is no charge in most cases.
